Using Weekly Rotational Dashboards to Track High Stakes Program Accreditation Data: Pictures Say a Thousand Words and Get You Back on Track!

Purpose: To develop, implement, study, and act on a weekly dashboard reporting program that directly tracks common ACGME survey and citation issues.

Background: Using dashboards to track high-stakes data has proven effective across fields from finance to medicine.  Residency programs could consider dashboard use to track high-stakes ACGME residency program accreditation data.

Methods: Dashboards were built to track program-specific ACGME survey and citation issues.  Weekly dashboards compiled rotation-specific data from MedHub, ACGME OpLog, and myTIPreport, and were distributed to rotation directors and residents.  Teams reviewed dashboards for accuracy and documented plans for areas needing improvement.  Timely dashboard review was tracked.

Results: Dashboards were successfully built and distributed with rotation-specific data for the program’s 10 rotations. Dashboard data reported on compliance with duty hours, case logging, and myTIPreport feedback.From October, 2018-March, 2020, 611 of a possible 620 dashboards (99%) were successfully distributed to rotation teams.  Teams reviewed 576 of 611 distributed dashboards (94%) within 24 hours of receipt.  For 601 of 611 (98%) dashboards, teams assigned “Weekly Rotation Status” (“red light, yellow light, green light”) and identified areas for improvement. Weekly narrative comments, included on the dashboards, described team actions taken to address identified areas for improvement.  Over the course of the study timeframe, increased compliance in all areas tracked was demonstrated. All program ACGME citations were resolved effective May, 2020.

Discussions:
A weekly dashboard program was successfully developed and implemented.  The majority of dashboards were reviewed and acted on by teams quickly with subsequent improvement noted in survey and citation areas of concern.
